End customers (callers and WhatsApp users): phone number, name (if provided during a call or booking), appointment details, and message content from calls and WhatsApp conversations.
Usage data: call logs, appointment records, ticket records, and timestamps of interactions with the platform.

3. How we use your data

We use personal data for the following purposes:

Providing the Callvori service — answering calls, booking appointments, and sending notifications on behalf of businesses.
Sending booking confirmation and reminder emails to business owners and agents.
Sending WhatsApp and SMS messages to customers who have interacted with a business using our platform.
Managing user accounts and authenticating access to the dashboard.
Improving our service and diagnosing technical issues.

Our lawful bases under UK GDPR are: contract (to deliver the service), legitimate interests (service improvement and security), and consent (for WhatsApp marketing messages where opt-in is obtained).

4. Third parties who process your data

We use the following trusted third-party service providers who may process personal data on our behalf:

Twilio Inc. — voice calls, SMS, and WhatsApp messaging. Data may be processed in the USA. Twilio is certified under the EU-US Data Privacy Framework.
Anthropic PBC — AI processing of voice conversation transcripts to power the AI receptionist. Data may be processed in the USA.
Resend Inc. — transactional email delivery (booking confirmations). Data is processed in the EU (Ireland, eu-west-1).
Cloudinary Ltd. — storage of uploaded business assets (flyers, images).
Render Services Inc. — cloud hosting of our application and database. Data is hosted in the USA.

We ensure all third-party processors provide adequate data protection safeguards. We do not sell your personal data to any third party.

5. Data retention

We retain personal data for as long as necessary to provide the service and comply with legal obligations:

Account data is retained for the duration of the business subscription plus 12 months.
Call logs and appointment records are retained for 24 months.
WhatsApp and SMS message history is retained for 12 months.
